Privacy policy

1. Who we are

AUTONOMOUS is produced by Frontier Media, Inc. Frontier Media is the controller of the personal information described in this policy. This policy covers autonomousfuture.co and the forms on it, and the personal information we handle when you register for, speak at, sponsor or attend the event, or when we contact you about it.

It sits alongside our terms of service, which govern participation in the event itself.

2. What we collect

We ask for the least we need for each purpose, so what we hold depends on how you got in touch. Across the forms on this site that is:

If you buy a ticket, Ticket Tailor handles registration and Stripe takes the payment. We receive your registration details, not your card number. We never store payment card details.

We also hold:

  • Correspondence you send us, and notes from calls we have with you, which we may take with an AI transcription tool
  • Business contact details for people we think may want to attend, speak or sponsor: name, job title, company, work email and public professional profile
  • Records from the event, such as check in and the sessions you were scheduled into if you spoke
  • Photos, video and audio recorded at the event, which may include you
  • Information about your visits to this site, collected by the tools in section 5

3. Where it comes from

  • Directly from you, through the forms on this site, by email or on a call
  • From Ticket Tailor when you register
  • From your employer or a colleague, where a company buys a group of passes or nominates a speaker
  • From public professional sources, such as company websites and public professional profiles, and from business contact data providers, when we look for people who may want to attend, speak or sponsor
  • From the analytics, advertising and CRM tools described in section 5, when you visit this site
  • From our photographers and film crew at the event

4. How we use it

  • To process your registration, application or enquiry, and to check eligibility for a discounted or complimentary pass
  • To run the event, including badges, check in and session logistics
  • To send you event logistics, programme updates and announcements you asked for
  • To send marketing about future editions where you have opted in, or where you are an existing contact and have not opted out
  • To email people who work in robotics and physical AI about the event, using the business contact details described in section 3
  • To publish speaker names, job titles, companies, photos and bios on this site and in event promotion
  • To measure our advertising and show our ads to people who have visited this site, as described in section 5
  • To produce and distribute event media, as described in section 7 of the terms of service
  • To keep our own records, and to meet legal and accounting obligations

We do not use your personal information to make automated decisions that have a legal or similarly significant effect on you.

5. Cookies and tracking

This site uses cookies and similar technology from the providers below. Some tell us how people find and use the site. Others measure our advertising, and can be used to show our ads to people who have visited.

HubSpot Records the pages you view, so that if you later submit a form or join the newsletter, those visits are linked to your details in our CRM. It also remembers a submission, which is why a form can appear part filled in

These providers receive information about your visit, such as the pages you viewed, the site that sent you, and an identifier for your browser. Google, LinkedIn and AdRoll can combine it with what they collect about your activity on other websites and apps over time, and use it under their own privacy policies.

Our host, Vercel, processes standard server request information such as your IP address in order to serve the site and protect it from abuse.

Most browsers let you refuse, delete or block cookies in their settings. Doing so does not stop you using the site or submitting a form. You can also:

This site does not respond to browser Do Not Track signals. It does respond to Global Privacy Control, as section 8 explains.

6. Who we share it with

We do not sell your personal information. Nobody pays us for it. The advertising tools in section 5 do pass information about your visit to Google, LinkedIn and AdRoll, which some US state laws call sharing for targeted advertising. Section 8 explains how to stop it.

We share personal information only with:

  • Service providers who run parts of the operation on our behalf, under contract and only for that purpose. Today those are HubSpot for our CRM, forms and marketing email, Ticket Tailor for registration, Sanity for the speaker and agenda content on this site, Vercel for hosting, and the software we use to send email, keep records and draft replies, including AI tools.
  • Stripe, which processes ticket payments under its own privacy policy.
  • Analytics and advertising providers, Google, LinkedIn and AdRoll, which receive information about your visit through the cookies described in section 5.
  • Sponsors, only when you ask. We do not give sponsors a list of attendees. A sponsor receives a picture of who was in the room, not a list of who was in it. A sponsor gets your details only if you ask us to introduce you, and from then on uses them under its own privacy policy, not this one.
  • The public, if you speak. Speaker names, job titles, companies, photos and bios appear on this site and in our promotion, and sessions may be recorded and published as the terms of service describe.
  • The venue and event suppliers, where they need a name to admit you or to meet a safety or access requirement.
  • A buyer or investor, if Frontier Media or AUTONOMOUS is sold, merged or reorganised, or while such a deal is being negotiated.
  • Professional advisers, or authorities, where we are required to by law or need to establish or defend a legal claim.

7. How long we keep it

  • Marketing and newsletter contacts: until you unsubscribe, and then a suppression record so we do not contact you again by mistake
  • Business contacts we have emailed about the event: with a record of what we sent, until you ask us to delete them, apart from that suppression record
  • Applications that were not successful: while we may still consider you for a later edition, unless you ask us to delete yours
  • Attendee, speaker and sponsor records: for the edition you took part in and for as long as we need them for our own records and accounts
  • Event photos and video: for as long as we use them to document and promote the event
  • Records with a legal or tax purpose: for the period the law requires

8. Your choices and rights

Every marketing email we send lets you opt out, through an unsubscribe link or by replying to ask us to stop. We act on it promptly, and always within the ten business days US law allows. You can also ask us to stop at any time by writing to hello@autonomousfuture.co.

Wherever you live, you can ask us:

  • what personal information we hold about you, where it came from and who we have shared it with
  • for a copy of it
  • to correct it
  • to delete it
  • to stop using it for marketing

We will not treat you differently for asking. Some of these rights are set out in law, including in California, and in the UK and EU, where section 11 also applies. We apply the same process to everyone who asks.

The advertising cookies in section 5 let Google, LinkedIn and AdRoll show our ads to people who have visited this site. Some US state laws, including California's, treat that as sharing personal information for targeted advertising. To stop it, turn on Global Privacy Control in your browser: this site treats that signal as a request to opt out, and does not load the Google Ads, LinkedIn or AdRoll tags when it detects one. You can also block third party cookies or use the opt out tools listed in section 5. Both work per browser, so repeat them on each device you use.

To make a request, email hello@autonomousfuture.co. We may need to confirm who you are before we act, and we will respond within the time the applicable law allows. If we cannot do what you ask, for example because the law requires us to keep a record, we will tell you why. You may use an authorised agent.

9. Security

We keep personal information in access controlled accounts with established providers, limit access to the people who need it to do their job, and do not hold payment card details at all. No system is perfectly secure, and we cannot guarantee absolute security, but if a breach affects your information we will act on it and notify you where the law requires.

10. Children

AUTONOMOUS is a professional event for adults. Admission is restricted to people aged 18 and above, and this site is not directed at children. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us their information, write to us and we will delete it.

11. Visitors outside the US

Frontier Media is based in the United States and the event takes place in the United States. If you contact us or register from elsewhere, your personal information will be processed in the United States, and in other countries where our service providers operate, under privacy law that differs from the law where you live.

When you give us your information, it comes to us in the United States directly. Where our service providers process it, they rely on a recognised safeguard for data from the UK and the European Economic Area, such as certification under the EU-US Data Privacy Framework and its UK Extension, or the European Commission's standard contractual clauses with the UK Addendum. HubSpot, Vercel and AdRoll, for example, are certified under the Data Privacy Framework. You can ask us which safeguard applies to a particular provider.

If you are in the UK or the European Economic Area, these are the legal bases we rely on:

  • Contract: to process your ticket, pass, speaking or sponsorship arrangement
  • Legitimate interests: to run and secure the event, to tell professionals in the field about it, to produce event media, and to establish or defend legal claims, where those interests are not outweighed by yours
  • Consent: for the newsletter and waitlist, and anything else we ask your permission for. You can withdraw it at any time
  • Legal obligation: to keep tax and accounting records

You can object to processing based on legitimate interests, including marketing, and ask for information you gave us in a portable format. You can also complain to the data protection authority where you live or work. In the UK that is the Information Commissioner's Office.

12. Changes to this policy

We will update this policy when what we do changes. The date at the top of the page always shows the current version. If a change materially affects how we use information we already hold about you, we will also tell you directly where the law requires it.
